Google announces Workspace Flows and new Gemini features in Google Workspace

Source: workspace.google.com/blog

In April, the Google Workspace team announced new AI capabilities of Gemini in Google Workspace. In addition to new features for existing tools, an entirely new solution was introduced — Google Workspace Flows. This is a tool for automating and orchestrating work in Google Workspace applications based on Gemini artificial intelligence, which allows you to automate routine processes for numerous work tasks.

What is Google Workspace Flows? A simple AI agent automation tool with infinite potential

Think about the routine tasks that consume precious time — chasing approvals, manually updating spreadsheets, searching for information in documents. Traditional automation tools can handle simple triggers, but what about work that requires context and reasoning?

This is where Google Workspace Flows comes in. It is designed to automate these multi-step processes using artificial intelligence that can actually research, analyze, and generate content for you.

Workspace Flows can use Gems — custom AI agents that can be created with Gemini — to perform specialized tasks. Need help checking if your marketing copy matches your brand style? Need help reviewing policy documents before approving a request? Need to intelligently sort customer support tickets? Workspace Flows can access your files on Google Drive for context, and then use specially trained Gems to take the right next steps.

See how Workspace Flows uses a custom Gem to handle a customer support request in the demo below. Flows reviews the incoming form, identifies the main problem, researches potential solutions, drafts a helpful response, and flags it for review and sending by the support team. It’s about optimizing entire processes, not just individual steps.

Use Workspace Flows to create AI automation for your critical business processes.

Google designed Workspace Flows for ease of use and to make work easier. Describe what you need in plain language, and Workspace Flows will create complex, logically driven algorithms — without complex coding or setup. Google is also partnering with third-party vendors to connect Workspace Flows to their tools. Workspace Flows is starting to roll out to customers in Google’s alpha program.

New audio features in Docs

Have you ever wanted to hear someone read your presentation aloud to evaluate the wording and improve delivery? Or understand the gist of a long document during your commute? Sometimes listening is the best way to absorb information or refine your message. That’s why the Google Workspace team is adding audio capabilities directly to Google Docs.

Soon you’ll be able to create full audio versions of your documents or choose podcast-style summaries for key points. This is a whole new way to interact with your content, and these tools will be available in alpha within a few weeks.

Improve your writing with “Help me refine” in Docs

AI-powered writing assistance is everywhere, but “Help me refine” aims to be more than just a text generator — it’s like having a writing coach by your side. Instead of just rewriting sentences, Gemini offers thoughtful advice on how to strengthen your arguments, improve the structure of your text, or make key points clearer. It can also help with formatting consistency. The goal is not just to fix the document, but also to help you become a more effective communicator over time. “Help me refine in Docs” will be available in alpha later this quarter.

Analytics becomes accessible to everyone thanks to new Sheets enhancements

Drowning in data? Wish every member of your team could easily find the story hidden in the numbers without being a spreadsheet wizard? Google is giving everyone access to a personal 24/7 AI analyst in the form of the “Help me analyze” feature in Google Sheets.

This on-demand analyst provides tips to get you started, points out interesting trends you might have missed, suggests next steps for deeper exploration, and creates clear, interactive charts to bring your data to life. This makes powerful analysis accessible to your entire team, whether they are spreadsheet experts or not. The “Help me analyze” feature will appear in Sheets later this year.

Create original video content in Vids

Creating compelling videos often seems unattainable — it can be expensive, time-consuming, and require special skills. The new Google Vids app is already helping customers create polished videos for important business needs. For example, Mercer International uses Vids to efficiently create site-specific training videos, making safety information more relevant and engaging for employees at each facility.

Soon you’ll be able to create high-quality, original video clips directly in Vids using the advanced Veo 2 model. Need a specific shot to illustrate a point or add visual flair? Create clips with realistic movement and various styles to complement your content and tell a more powerful story — without the need for complex editing software. This feature will be available to alpha users in the coming weeks.

Stay focused and informed with Google Meet

We’ve all been there: joining a meeting late, trying to understand key decisions, or wanting to perfectly formulate a thought before speaking up. Building on features like “Take notes for me,” Gemini in Meet becomes your personal meeting advisor.

Running late? Just ask Gemini, “What did I miss?” to get a brief summary. Need clarity? Ask about specific topics or decisions. Want a summary in your preferred format? Gemini will generate it. Chat with Gemini to organize your thoughts or clarify a point before jumping into the discussion. These capabilities will help you stay informed, understand the conversation, and contribute effectively, and will be generally available in Meet later this quarter.

Gemini in Google Meet helps you catch up, clarify topics, and participate confidently in discussions.

Bring Gemini into the conversation in Google Chat

Group chats are great for collaboration, but it can be hard to keep track of everything in busy conversations. Now you can bring Gemini directly into the discussion to extract and organize important information you’re discussing.

Just type @gemini in any chat conversation, and you’ll get a detailed overview that highlights open questions, key decisions, and next steps. It’s a simple way to cut through the noise and make sure everyone is aligned and the team keeps moving forward. This feature will be available in Labs in the coming weeks.

Add @gemini to any chat conversation for a quick summary and alignment on issues.

Ensure the protection and confidentiality of your business data

When you use Gemini in Workspace and the Gemini app, you can be confident that your information is handled securely and confidentially. Simply put: your data is your data. It is not reviewed by humans, not used to train Gemini models outside your domain without your permission, and never sold or used by external parties.

You also get more control with data residency options, allowing you to restrict where your Gemini in Workspace data is processed (e.g., keeping it in the US or EU) to comply with regulations like GDPR and ITAR.
